Administrative Assistant

Overview

Seeking a highly organized Administrative Assistant to support senior leadership within a fast-paced, client-facing environment. This role requires strong attention to detail, discretion, and the ability to manage multiple priorities.

Key Responsibilities

  • Manage executive calendars, scheduling meetings, calls, and appointments
  • Coordinate domestic and international travel (flights, hotels, itineraries)
  • Handle correspondence, emails, and follow-ups on behalf of leadership
  • Prepare meeting materials, agendas, and documentation
  • Track expenses and process reimbursements
  • Support office operations, vendor coordination, and general administration
  • Assist with event planning and internal/external meetings

Qualifications

  • 2+ years of Executive Assistant or Administrative Assistant experience
  • Experience in financial services, wealth management, or professional services preferred
  • Strong skills in calendar management, xywuqvp travel coordination, and expense reporting
  • Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Excellent communication, organization, and time management skills
  • Ability to handle confidential information with discretion
  • Proactive, detail-oriented, and able to multitask in a fast-paced environment
