The Theater Program Coordinator aids in the daily operations of the Theater Department within the Patel Conservatory and is responsible for coordinating all Theater Department-related administrative, curricular, communication, and event planning needs. Working closely with the Theater Department Chair and Theater Department Manager, this position serves as a central point of coordination between students, families, faculty, guest artists, participating schools, production staff, and administrative departments to ensure the successful planning, communication, and execution of all Theater Department programs and events

Essential Functions:

  • Coordinate the daily administrate and operational activities of the Theater Department in support of departmental goals and strategic initiatives.
  • Serves as the primary point of contact for Theater Department classes, productions, Broadway Star of the Future Awards, Conservatory-to-Go, workshops, auditions and departmental initiatives.
  • Maintains Theater department master calendar and coordinate all facility, rehearsal, classroom, theater, equipment, and meeting space requests.
  • Assist with all Theater Department auditions including scheduling, registration setup, room assignments, audition logistics, and casting communications.
  • Coordinate communication and workflow between the Theater Department and Admissions, Production, Marketing, Finance, Ticketing, Information Technology and other Straz center departments.

Admissions Related Responsibilities:

  • Partners with the Admissions Office to maintain accurate student records, registrations, enrollments and class rosters.
  • Coordinate private lesson scheduling in collaboration with Admissions.
  • Fields incoming calls and emails for the Patel Conservatory Theater Department.
  • Assist with instructor schedules, substitute coverage, and guest artist scheduling.
  • Assists students and families with program recommendations, placements, registration questions, and departmental communications.

Theater Program Responsibilities:

  • Under the supervision of the Theater Department Manager, coordinates the day-to-day operations, as well as assisting with planning and production coordination of the Broadway Star of the Future Program.
  • Serves as the primary administrative contact for participating schools, adjuticators and program stakeholders.
  • Coordinates annual school registration and application processing.
  • Coordinates reviewer recruitment, scheduling, onboarding, agreements, and annual training logistics.
  • Maintains review schedules, production calendars, databases and program records.
  • Coordinates communications and required reporting with the National High School Musical Theatre Awards (Jimmy Awards®), as requested.

Patel Conservatory Theater Productions:

  • Coordinates production calendars, rehearsal logistics, and production schedules
  • Coordinates rehearsal space reservations and production logistics
  • Coordinates production photography, videography, publicity asset, and archival materials
  • Coordinates initial parent communications regarding rehearsals, performances, production expectations, and special events

Supervisory Responsibilities:

This position has no direct supervisory responsibilities but may assist in supervising Theater Apprentices.

Education and Work Experience:

  • A bachelor's degree in Theater, Arts Administration, Education, Business Administration, Communications or a related field preferred
  • Minimum of three years of progressively responsible administrative or operations experience.
  • Experience working in theater, performing arts, arts education, or non-profit organizations preferred.
  • Experience coordinating productions, educational programs, events, contracts, scheduling, and project management preferred.
  • Experience with students, families, volunteers and community partners preferred.

Minimum Qualifications:

  • Demonstrated experience establishing positive relationships with children, parents, educators, artists, and administrators. and community partners
  • Excellent administrative multitasking, organizational, and project management skills.
  • Strong communication skills (both verbal and written), attention to detail and accuracy.
  • Ability to manage multiple projects and deadlines simultaneously
  • Ability to maintain confidentiality and exercise sound judgement
  • Proficient in the use of Microsoft Office applications.
  • Experience with Google Workspace, digital forms, online registration systems, and database management. As well as using Acceptd or similar audition management platform preferred.
  • Ability to work a flex schedule of various hours and multiple shifts, to include evenings, weekends, and holiday shifts, as needed.
  • Must be able to successfully pass a Level 2 background screening
